Association rules of AaltoAI ry

I Association
1 §
The name of the association is AaltoAI ry, and its seat is Espoo.
2 §
The purpose of the association is to bring together Aalto University students and other people interested in artificial intelligence and to promote knowledge of artificial intelligence within the university community. In addition, the association supports its members’ interest and development in artificial intelligence.
3 §
To fulfil its purpose, the association may organise social evenings, excursions, study circles, courses, hackathons and competitions; collect and disseminate information about artificial intelligence; cooperate with other associations; and carry out projects related to the field.
II Members and fees
4 §
A person wishing to become a member shall notify the Board, which approves members. A member of the Student Union of Aalto University may be admitted as an Aalto member; others may be admitted as ordinary members. It is also possible to join as a supporting member. All Aalto members of the association have voting rights. Ordinary and supporting members do not have voting rights at meetings of the association, but an ordinary member may be elected to the Board.
5 §
Members may be charged an annual membership fee. The fee may differ between membership categories. The Board may deem a member to have resigned if the member has neglected to pay the membership fee for more than six months.
6 §
The Board may expel a member who no longer meets the conditions of membership or who has caused harm to the association or to other members. The member has the right to be heard before the decision is made.
III Meetings
7 §
Meetings of the association shall be convened at least one week in advance by publishing the notice on the association’s email list.
8 §
At the spring meeting in February–March, the annual report and financial statements for the previous year are approved and a decision is made on granting discharge from liability to those who administered the association during the previous year. The operating plan and budget are also approved, and the amount and due date of membership fees are decided.
9 §
At the autumn meeting in November–December, the chair, the other members of the Board and the operations inspectors are elected for the following calendar year.
IV Finance
10 §
The Board shall include at least three members of Aalto University. The Board has a quorum when at least half of the elected Board members are present, but at least three people must be present.
11 §
The Board may elect a vice-chair from among its members to perform the duties of the chair when the chair is prevented from acting or is disqualified.
12 §
The association may be represented by the chair of the Board and/or by a person separately authorised by the Board.
13 §
One person independent of the Board shall be elected as operations inspector, together with a deputy inspector.
14 §
The financial year of the association is the calendar year.
15 §
To support its activities, the association may own real and movable property, organise fundraising, engage in publishing activities, and receive grants, donations and bequests.
V Other provisions
16 §
Amendments to the rules and dissolution of the association shall be decided at two consecutive meetings of the association held at least two weeks and no more than three months apart. At both meetings, the decision requires a majority of at least three quarters of the votes cast.
17 §
If the association is dissolved or ordered to be dissolved, its assets shall be transferred to the Student Union of Aalto University.
